Basic function
The Finance and Administration Officer will work as a member of the management team and works to build standardized system so that the company can operate to the best of its capacity by keeping the available policy and guidelines
• Provide key administrative support
• Prepare payment request invoices, follow payments, and receive/deliver invoices
• Manage bank transactions
• Prepare cheque and payments
• Work out a payment plan and effect payments on time
• Prepare monthly payroll for all staff and send monthly salary for those who live outside of Addis Ababa
• Prepare all tax forms and submit to the Executive Director for approval
• Manage cash registry, draw reports, and prepare invoice
• Follow employees’ record and update every time
• Follow employees’ pension file and update on time
• Write financial reports
• Oversee budget and ensure financial accountability
• Update financial movements of the company accounting system or spreadsheet
• Work with the company to liaison with other clients and partners as needed.
• Should have a very good Knowledge of ongoing and emerging issues in relation to tax and should be ready to upgrade his/her capacity
• Regularly follow up on new policies and updates and inform the company for any new legislations on time
• Should have well developed written and oral communication skills in both Amharic and English
• Must have no objections to traveling outside Addis Ababa when it is required
• Review financial documents every time and act accordingly following the personal and policy procedural manual and related government policy and legislations
• Monitors and evaluates project implementation in line with the financial and administrative plan
• Ensure employees’ are following the personal policy and procedural manual the company developed
• Ensure that standardized data and files recording, reporting and confidentiality systems are instituted
• Ensure timely submission of documents, payments and deliverables on time.
• Manage project expenditures in coordination with personal policy and procedural manual
• Conducts correspondence and keeps files
• Be responsible for Company stamp, seal, cheque books and invoices
• Prepare form and register all inventory and keep records of all equipment temporarily taken by any staff
• Prepare financial formats
• In addition to the above core responsibilities and activities, the following are also counted in:
• Work with line directors and research executives and assistants to build capacity of other staff members
• Work with line staff in the development of individual project level performance
• In coordination with other staff provide technical assistance to the project team to ensure the quality of assignments is maintained
• Remain informed on current research and other developments relevant to the company’s area of expertise
• Sensitivity to cultural differences and understanding of the ethical issues surrounding.
• Should be able to work well with others and to develop and maintain compatibility among project staff, clients, subcontractors, consultants, recipients of assistance and partners
• Recognize and solve potential problems and monitor project effectiveness
• Conduct general staff meeting and maintain minutes;
• Participate in any new idea development that can facilitate the company and its staff growth and development
• Participate in hiring and recruiting of new professionals selection together with the research executives and management committee
• Prepare and manage tendering process as required.
• Assist project staff in filling forms and processes.
• Prepares agreements for new staff and for any related agreement and related for approval
• Supervise Office assistant and cleaners so that they are performing to the standard of their job description
• Purchase any important materials up on approval
• Attend and participate in periodic management meetings
• Perform other duties as assigned by immediate supervisor or line director responsible party
• Ensure the company has enough inventory and logistics for the successful implementation
